Che Pom is committed to handling your personal information with care and transparency. This Privacy Policy explains what information we collect, why we collect it, how we use it, and the choices available to you.
What We Collect
When you submit an application or otherwise communicate with Che Pom, we may collect information including your name, email address, professional context, website or social media profile, retreat type, approximate group size, preferred dates, venue preferences, and information you voluntarily provide about your work.
We do not collect payment-card information through the Che Pom application form.
Our website and infrastructure may also process limited technical information necessary to operate, secure, and maintain the website.
How We Use Your Data
We use personal information to:
- evaluate applications;
- understand your retreat and venue requirements;
- identify and recommend suitable venues;
- communicate with you about your application or enquiry;
- facilitate introductions between approved applicants and appropriate venues;
- operate, secure and improve the Che Pom service; and
- comply with applicable legal obligations.
We do not sell your personal information.
We do not use application information for marketing purposes without the appropriate permission or other lawful basis required under applicable law.
Sharing With Venues
Where appropriate to facilitate a venue match or introduction, relevant information may be shared with a venue owner or representative.
We will only share information that is reasonably necessary for the introduction or enquiry and will handle such disclosures consistently with the purpose for which you provided your information.
Service Providers
Che Pom uses third-party service providers to operate its website, applications, communications and technical infrastructure.
These providers may process limited personal information on our behalf where necessary to provide their services. They are not authorised by Che Pom to use that information for unrelated purposes.
Che Pom currently uses Base44 as part of its website and application infrastructure.
Email Communications
We use email to respond to applications and enquiries, communicate with approved practitioners, provide information related to venue matching, and administer our service.
We may use specialist email-delivery or communications providers to send and manage these messages on our behalf.
Where we send optional marketing or promotional communications, you may unsubscribe using the method provided in the communication or by contacting hello@chepomretreats.com.
How Long We Retain Your Information
Application information may be retained for up to 24 months to support venue matching, follow-up enquiries and ongoing practitioner relationships.
If you request deletion, we will process your request in accordance with applicable law. Where possible, we aim to complete valid deletion requests within 14 days.
Certain limited information may be retained where reasonably necessary to comply with legal obligations, resolve disputes, maintain security, or record and honour communication preferences.
Your Rights
Depending on the laws applicable to you and your personal information, you may have rights to request access to, correction of, or deletion of your information, as well as rights to object to or restrict certain processing and request data portability where applicable.

We may need to verify your identity before completing certain requests.
Data Security
We take reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure.
We use service providers to host and operate parts of our infrastructure. No internet-based system can guarantee absolute security.

The Che Pom website may use cookies or similar technologies necessary for website functionality, security and session management.
Additional technologies or third-party services may be used where necessary to provide website functionality or communications. Where consent is required by applicable law, we will obtain it before using non-essential tracking technologies.

International Processing
Some service providers used by Che Pom may process personal information outside Vietnam or outside the country in which you are located.
